Bluejeans Virtual Meetings @ Bishop’s

Bluejeans is the video conferencing service we use here on campus. It offers high quality video streaming and is very easy to use and to set up. All BlueJeans meetings need to be setup by ITS. Learn more on how to request meetings and how to use BlueJeans here.

1. How to request a meeting

Step 1:

Login to octopus.ubishops.ca.

Step 2:
Select a new request.
Step 3:
Select the request for a "Multimedia/Conferencing Request for a BlueJeans meeting".

Once ITS has created your requested BlueJeans meeting, you will be sent a communication through our Octopus system with the required details to access the virtual meeting.

Step 4:

The meeting ID and URL are required to enter the virtual meeting while the moderator code should be used only by the moderator to open the meeting and manage the participants.


2. Joining a meeting (Web Browser)

BlueJeans is pushing people to install their application over joining a meeting in-browser. However, unless you are routinely going to be using BlueJeans, the web browser is perfectly fine to use. We suggest using Chrome if you want to join a meeting from a web browser as it is the most stable browser for BlueJeans meetings.

Step 1:

Follow the link sent to you by ITS. If you have the application installed, it will open the application. If not, it may ask you to download it. To use BlueJeans directly from your Chrome browser, cancel the download and click "join in browser".

Step 2:

Enter a screen name for the meeting (This will identify you to the other users).

Step 3:

You have now joined the meeting. If you are the one running the meeting, you can start the meeting as a moderator (you will have had a moderator code sent to you with your link). Otherwise, wait for the moderator to start the meeting.


3. Joining a meeting (Application)

Joining a meeting through the dedicated computer or mobile device application works very similarly to the web version. Please note: While the browser plugin works perfectly fine if you plan to use BlueJeans a lot we suggest installing the application.

Step 1:
After clicking on the provided BlueJeans meeting link, the BlueJeans application should start downloading.

Step 2:
After the download finishes, open the BlueJeans launcher if it has not automatically opened. The launcher will install the application and launch the meeting. When the application launches it will ask you if you’d like to join using computer audio or phone audio. In this case we would like to use computer audio. Click save and continue.
Step 3:
Finally, if you click on the “Join Meeting Now” button you should join the meeting. You’re all set!
How to Join a meeting Via Mac OSX

Step 1:
After clicking on the provided BlueJeans meeting link, the BlueJeans application should start downloading.

Step 2:
Once the download finishes, open the BlueJeans launcher if it has not automatically opened. Double click the BlueJeans Installer, this will install the application and launch the meeting.
Step 3:
Next the application will ask you if you’d like to join using computer audio or phone audio. In this case we would like to use computer audio. Click save and continue.
Step 4:
Finally, you will be prompted to give BlueJeans camera and microphone permissions. Once you click on the “Join Meeting Now” button you should join the meeting. You’re all set!
How to Join a meeting Via Mobile Device

The first step is to get a link to a BlueJeans meeting, to learn more about how to get a link to a BlueJeans meeting click here

Step 1:
The first step is to navigate to the BlueJeans link provided. Once you click on that link it should bring you to your browser where you can join using the BlueJeans App. To download the app, click on the join with the app button.

Step 2:
After clicking on this link, you should then click on the button that says, “Install the app to join your meeting”. This will bring you to the app store, where you can download the app.
Step 3:
This should bring you to the app store where you can download BlueJeans. After installing BlueJeans, go back to the BlueJeans meeting link and click on it again. Follow Step number 1 once again, clicking on “Join with the App” button.
Step 4:
After the app opens it will ask if you’d like to join using app audio & video or Dial in Audio. In this case we would like to use App Audio. Click App audio & video.
Step 5:
Next you will be prompted for your name. This will identify you to the other participants. Enter your name and click "Next".
Step 6:
When you are ready to join the meeting, you can click on the join meeting button at the bottom of the screen and you’re all set.


4. Chat Features

Step 1:

You can use the chat feature on the right panel to start a conversation.


5. Participants and Inviting

Step 1:

By clicking on the Participants button on the right panel you can see a list of current people in the meeting.

Step 2:

To invite a new participant please click on the invite button as shown in the picture.

Step 3:

The moderator can also disable and enable participant's audio and video output by clicking on the camera and microphone icons as shown in the picture in front the participants name.

Step 4:

You can invite someone by entering their email address or you can share the meeting info such as Meeting URL, Meeting ID, etc so they can join the meeting manually.


6. Locking a meeting

It might be useful for the moderator to lock the virtual meeting room. Locking the meeting will prevent any new participants from entering the meeting room while it is locked.

Step 1:

Locate the settings icon in the top right corner and check the "Lock current meeting" box.

To unlock the meeting, simply uncheck the box.



7. Screen Sharing

Step 1:

You are able to share your screen activity with the participants of the meeting, just click on the Share Screen icon on the right panel.

Step 2:

After starting the screen sharing you will see the following layout and to stop this feature click on the red button labeled Stop Sharing.


8. Audio and Video Settings

Step 1:

Before the meeting starts the BlueJeans system confirms your audio and video input. During any time of the meeting you can change these settings by clicking on the Setting icon on the right panel.

Step 2:

By clicking on the video and mic drop down menu you can see a list of your inputs, for example if you have a external webcam or external headset connected to your computer you can choose a different input.

Step 3:

You can also mute your audio and video using the short cut icons on the bottom right of the screen. After muting your microphone you can press and hold the space bar every time you speak.
