Outlook: How to Declutter Your Mailbox

Is your Bishop’s email full? Are you receiving automated messages warning you that your email is getting full? Fear not, in this tutorial we will show you how to remove old emails and free up some space for new emails to come in.

To learn more on how to declutter your inbox, select your preferred method of accessing your emails:


 

Windows

There are three main ways to clean up your inbox: Emptying all items from your junk folder, and Deleted folder, and deleting email attachments.

Empty the Junk Folder
Step 1:

In Outlook hover over your junk folder and right click on it. Click on empty folder.


Step 2:

This should have emptied your entire junk folder.


Empty the Deleted Folder

Step 1:

In Outlook hover over your Deleted folder and right click on it. Click on empty folder.


Step 2:

This should have emptied your entire deleted folder.


Empty the Deleted Folder Alternate Method
Step 1:

In Outlook click on file in the top left hand corner of the screen


Step 2:

Next under account settings click on Mailbox Settings Tools and click on "Empty Deleted Items Folder". This is another method of emptying the deleted folder.


Delete Attachments
Step 1:

In Outlook, in your inbox folder, just above the emails you can select the "By Date" button to show multiple ways of sorting emails. Click on attachments to sort by emails containing attachments.


Step 2:

Now you should see your inbox sorted into two sections - With Attachments and Without Attachments. To delete an attachment to clear up space click on an email containing an attachment.


Step 3:

Right Click, or click on the arrow next to the attachment to bring up a drop down menu. In this drop down menu click on Remove Attachment to remove the attachment.


Step 4:

This will prompt you if you are sure you want to remove the selected attachment. You will not be able to recover the attachment once deleted. Click Remove Attachment only if you are sure you do not need this attachment.


Step 5:

Your inbox should update and the email that you just deleted attachments from is now sorted under No Attachments, you have successfully saved some space.



 

MacOSX

There are three main ways to clean up your inbox: Emptying all items from your junk folder, and Deleted folder, and deleting email attachments.

This will prompt you if you are sure you want to permanently delete all the messages in your junk folder. Only select Delete if you are sure you will not need these emails later


Step 3:

This should have emptied your entire junk folder.


Empty the Trash Folder
Step 1:

In Outlook hover over your trash folder and right click on it. Click on empty folder.


Step 2:

This will prompt you if you are sure you want to permanently delete all the messages in your trash folder. Only select delete if you are sure you will not need these emails later


Step 3:

This should have emptied your entire trash folder.


Delete Attachments
Step 1:

In Outlook, in your inbox folder, just above the emails you can select the "By Date" button to show multiple ways of sorting emails. Click on attachments to sort by emails containing attachments.

On the Outlook Web Application hover over your junk folder and right click on it. Click on Empty Junk E-Mail.


Step 2:

This should have emptied your entire junk folder.


Empty the Deleted Items Folder
Step 1:

In Outlook hover over your Deleted Items folder and right click on it. Click on Empty Delted Items.

Step 2:

This should have emptied your entire Delted Items folder.


Delete Attachments
Step 1:

In the Outlook Web Application, in your inbox folder, just above the emails you can select the "By Date" button to show multiple ways of sorting emails. Click on attachments to sort by emails containing attachments.


Step 2:

The emails should be sorted by with attachments and without attachments. You cannot remove attachments in outlook web application so if you do not need the emails containing attachments we recommend that you delete the emails containing attachments and then empty your deleted folder right after.
