Borrowing Equipment – Student

Students are able to borrow equipment under certain conditions. Any equipment borrowed must be used for academic purposes, and permission from ITS might be required. The procedure for borrowing equipment is as follows:

Step 1. It is recommended that you communicate with the Helpdesk prior to making a reservation for equipment if you are uncertain what kind of equipment you need.

** Note: Equipment cannot be borrowed for non-academic or personal purposes, or before proper authorization has been given. **

Step 2. Fill out an Octopus ticket with the equipment you need and the date you will need the equipment. Sufficient prior notice is required as your request will need to be evaluated and approved/denied accordingly. Approval/denial of loan requests will only be done during regular business days (Monday to Friday) and may be delayed during busy periods. The loan ticket should be sent as soon as possible in order to ensure the equipment will be available for the requested loan period. The maximum loan period is 72 hours from the time of pickup.

Once the equipment loan ticket has been approved by ITS, the equipment is reserved for the requested date and time. The Helpdesk will confirm your loan reservation and notify you if any of the requested items are unavailable during the requested loan period.

Step 3. Visit the Helpdesk at your specified pickup time to retrieve the equipment. At this time, you will be required to sign a Loan Agreement detailing the items loaned out, and accepting that you may be held responsible for any damage to the equipment or missing items/parts. You will receive a copy of this form, and ITS will keep the signed copy.

** You must present a valid BU student card and provide ITS with a valid phone number when picking up the reserved equipment. **

Step 4. A reminder will be sent out to remind you of your return date. Equipment should be returned on time and in the condition it was loaned out (ex. video cameras should have the contents downloaded and erased from the camera, the battery should be fully charged, additional cables included in the bag are not missing, etc.). Since the same equipment may have be reserved for other students/events at the end of your loan period, it is important it is not late!

** Note: As detailed in the Loan Agreement, ITS reserves the right to charge late fees for any items returned past the deadline. Charges will also apply for the replacement value of any lost equipment or the repair value of any damaged equipment. All charges will be applied to your student account and can be paid at the Records Office.

Need an extension? Place an Octopus ticket to request an extension prior to the due date/time to request a 24-hour loan extension. A loan extension will only be granted if the item is not already reserved by someone else. If the loan extension is denied, you must return the equipment on the due date/time listed on the loan agreement form.
